Data Protection Regulations regarding an online application for a place to study/train

Privacy Statement

As the responsible data processor, the St. Pölten University of Applied Sciences GmbH, Campus-Platz 1, 3100 St. Pölten, datenschutz@fhstp.ac.at, takes the subject of data protection and confidentiality very seriously. The UAS therefore complies with the current national and European data protection regulations. Below, the St. Pölten UAS would like to briefly explain the most important aspects of the current data protection regulations.

Collection of Data and Purpose of Processing

The computer-assisted data processing takes place for the purpose of carrying out your online application. This application constitutes the conclusion of a civil law pre-contract and makes computer-assisted data processing indispensable.
Your application can be processed only by means of the online application tool made available and by providing the required information (fields marked with * are mandatory). Non-provision of the necessary data prevents the processing of your online application.

Furthermore, your data will be used for direct marketing purposes for the same or similar study and further education offers of the St. Pölten UAS for which you have applied, and for events concerning these educational offers. We will inform you on these via email and letter. This use of your data is justified as a legitimate interest of the Fachhochschule St. Pölten GmbH. You can object to the processing of your data for direct marketing purposes at any time by sending an email to datenschutz@fhstp.ac.at, or in any of the following electronic mailings. This does, however, not affect the lawfulness of processing based on consent before its withdrawal.

Which data are stored?

We store all information provided by yourselfwithin the framework of your online application.

For How Long Are the Data Stored?

In case your application is rejected, the data provided will be deleted within six months after the beginning of the study year, except for your form of address, name, home address, country, e-mail address and chosen educational offer.

For direct marketing purposes, your data (particularly your name, home address and e-mail address) will be processed for 3 years after first contact, unless you have objected to processing; in the latter case, the data will also be deleted after 6 months.

If you receive confirmation of a study place following the admission procedure, your data will be further processed for the purpose of fulfilling the educational contract and on the basis of the statutory notification obligations of the Fachhochschule St. Pölten GmbH. You will be separately informed on these obligations within the framework of the conclusion of the educational contract, if applicable.

Data Recipient

The collected data are used by staff members of the FH St. Pölten GmbH, Campus-Platz 1, 3100 St. Pölten for the aforementioned purposes.

Applicants from other countries have the opportunity to have the authenticity of their school-leaving certificates verified by the Federal Ministry of Education, Science and Research, Minoritenplatz 5, 1010 Vienna, tel.: +43 1 53120 0, email: ministerium@bmbfw.gv.at, or by the university abroad.

If you apply for a study programme or further education programme carried out in cooperation with another educational institution (examples: WIFI, Erfurt University of Applied Sciences, ZHAW Zurich University of Applied Sciences, Zukunftsakademie Mostviertel), your data will be made available to the cooperation partner for the purpose of processing and administration of the study programme or further education programme.

If you apply for a study or further education programme which involves an online admission test within the framework of the admission process, your last name, first name, date of birth, gender, study programme and the admission date are forwarded to Schuhfried GmbH, Hyrtlstraße 45, 2340 Mödling, e-mail: datenschutz@schuhfried.at for assessment purposes for the online admission test. 

If the admission test takes place online within the framework of the admission procedure, the following data will be passed on to the following external data processors for evaluation and monitoring purposes as part of the online admission test and the proctoring (online monitoring of the candidate by means of video and sound recordings and subsequent analysis) carried out in this context:

Data Security

All data are stored on servers that are operated with high security standards and are protected against misuse and access by unauthorised persons. In case any data are passed on to third parties, the St. Pölten UAS undertakes to ensure that these comply with the national and European data protection regulations as well.

The St. Pölten UAS selects its external data processors with great care and makes sure within the framework of the data processing contracts that forwarded personal data are processed only in accordance with the contract by the external processors.

All Data Subject Have the Following Rights:

  • The right to access the respective personal data
  • The right to rectification and erasure
  • The right of data portability or restriction of processing

All data subjects can make use of these rights by responding to the Fachhochschule St. Pölten GmbH as the responsible data protection officer (datenschutz@fhstp.ac.at).

All data subjects also have the right to file a complaint with the Austrian data protection authority, e-mail: dsb@dsb.gv.at as the responsible supervisory authority.
